Global Navigation Bar
The Global Navigation Bar is always visible in the Level Data Portal, providing primary navigation, including the logout option. The Admin menu is visible only to users with admin permissions.
User Name Display
The displayed username includes the logged-in user's district information. This helps users with access to multiple districts to confirm which district they are currently logged into.
Logout
To log out of the system, click the user initials icon. If needed, this will also allow a user to switch logins.
Admin Levels
The Level Data Portal has two levels of admin permissions: Portal Admin and Application Admin.
- Portal Admin: These users have full admin rights over the entirety of the platform, including all associated Level Data applications. Portal Admin has the ability to create other Portal Admin, add users to the platform and assign application access for users. These features can be accessed in the Admin menu.
- Application Admin: These users have access to application level settings which can be accessed in the Admin menu.
Admin > Portal Settings
This is only accessible for users with Portal Admin permissions. From here, users can oversee and manage portal users and application access, define district roles as well as monitor activity reports.
Admin > Portal Settings > Manage Users
Use Manage Users to handle user management for the Level Data Portal within districts. Portal Admin can view user profiles and last login information, add or delete users, and manage user accounts on this tab.
Creating New Users
To add a new user to the Level Data Portal, click the "Create User" button located above the user list. Here Portal Admin can enter the necessary information for the new user. Applications the district subscribes to will be listed in the modal, allowing Portal Admin to assign the appropriate level of access for the user
- None: The user will not have access to the application
- Basic: The user will have access to the application but they will not have admin privileges
- Admin: The user will have access to the application as well as the Admin menu and the Application settings section.
Applying Portal Admin permissions will apply Admin rights to all applications by default
Newly created users will receive an email invitation, which expires after 48 hours, to set up their account.
Manage User Accounts
In the user profile window, Portal Admin have the ability to delete user accounts, reset passwords, or resend invites for account creation. When deleting users, a confirmation message will appear to verify the action. Once deleted, users will no longer have access to the Portal or any applications.
To access a user profile, click on any row in the manage users table.
Admin > Portal Settings > District Roles
District Roles let Portal Admins create roles with site-specific filters for the district. This centralizes role creation, making these roles available for defining application access and assigning them to users within each Level Data application.
Creating New Roles
To add a new role to the Level Data Portal, click the "Create Role" button located above the role list. Here Portal Admin can enter the necessary information for the new role and select from a list of available sites for the district to set site filtering. Saved roles will appear in the District Roles list.
Manage District Roles
Select a role from the table to view role details. Here, Portal Admin have the ability to edit the name, site filtering and app access or delete roles. When deleting roles, a confirmation message will appear to verify the action. Once deleted, the role will no longer be available for user assignments, and all existing assignments and access associated with that role will be removed. App access for each district role can also be edited by users with Application admin privileges within "Roles" under Validation Settings.
Clone Role
This report captures the activity of error corrections within the Level Data Portal. It outlines the nature of the change, identifies the user who made the change, and provides the status of the change being sent to the SIS. This serves as a record of changes sent to the SIS from the Portal.
(Note: In the SIS, these changes will be recorded as originating from a single account, not the individual user account within the Portal that initiated the change.)
