Global Navigation Bar
The Global Navigation Bar is always visible in the Level Data Portal, providing primary navigation, including the logout option. The Validation application is located in the Apps menu. The Admin menu is visible only to users with admin permissions.
User Name Display
The displayed username includes the logged-in user's district information. This helps users with access to multiple districts to confirm which district they are currently logged into.
Logout
To log out of the system, click the user initials icon. If needed, this will also allow a user to switch logins.
Validation
The Level Data Portal is the foundation for validating imported data. To access the Validation application, click on the "Apps" option in the Global Navigation Bar. Navigate through the categories of data validations on the left side of the page to review the results and, in some cases, resolve identified errors.
Note: Resolving errors in fields within the Portal will lead to changes in the Student Information System. Please be cautious, as unintended consequences may arise. For instance, modifying student names could affect student emails or user accounts in other systems. District Administrators have the option to deactivate this functionality for all users within the district.
Validation > Validation Summary
The Validation Summary acts as the landing page for the application and provides a snapshot of current validation counts organized by category for each site the user has permission to access. All users will be able to view the district totals, regardless of which sites they have access to, allowing them to analyze how the counts for their assigned sites contribute to those of the entire district. The district totals link directly to the validation category.
Validation > Categories
The categories available are determined by the Rules of the state and Student Information System (SIS) for the district. (Note: Refer to the District Administration Help for additional information on providing a filtered view for district users.)
Each table in the application offers the following features:
Filters:
A user can filter on one column at a time. There are two ways to access the filter. On the top left of the table, select “Filter”. Determine which column to filter on and then enter the desired value. The filter acts as a "contains" filter, showing results that include any portion of the entered value. Alternatively, you can access the filter by selecting the 3 dots to the right of a column name and then select the value to filter.
Sorting:
Tables are initially sorted by record count, from highest to lowest. Adjust the sorting by clicking on a column header. An arrow will indicate which column is sorted and the order (ascending or descending).
Results per page:
At the bottom right of each table, users can navigate through multiple result pages. They can select the desired "Results per Page" option to specify how many rows they want to see per page. (Note that changing this value will be saved across tabs and persist when leaving the page.)
Fix and List actions on Validation rules:
- Fix: For the SIS and related fields, Validation allows users to make changes and send the information back to the SIS during nightly processing.
- List: Validation cannot update the fields in this rule to the SIS. This may be due to a deliberate decision or because the feature is not yet available for the SIS and that field. If this is the case, a banner will be displayed within the rule results.
Validation > Categories > Individual Rule Screen
Clicking on a Validation result row for a specific Validation Rule navigates to the appropriate Fix/List screen for that individual rule. For example, the "Invalid Legal Last Name" validation shows a "Fix" screen where changes made in the "Invalid Legal Last Name" column will be sent to the SIS during nightly processing. (Note: In some cases, additional related fields are available for editing as seen in the example below where Last Name and First Name are also editable.)
To edit a field, click the edit icon on the left of the table to enter edit mode. After making the desired changes, the validation rules will run to check if the updated information meets the validation rules for the field. This process allows for any errors to be fixed before the information is sent back to the SIS during nightly processing.
From within the "Edit" screen for a results record, records can be flagged as already reviewed by a user within the district. This is completed by checking the "Reviewed" checkbox, adding a comment, and save. This is visible to all users within the district. Records that have been marked "Reviewed" are indicated with a "snooze" bell icon. Reviewed status can be removed by editing the record and un-checking the Reviewed checkbox.
Fix/List pages offer the following capabilities:
Additional Information:
Click on the header bar for “Additional Information” to get further details on resolving the displayed records for the rule. This information remains visible until collapsed, making it easy to reference while analyzing validation results.
Help:
Access help for the validation process by clicking on the "?" icon next to each Validation Category page title. This provides more information about the validation process, including the legend for the "Fix" field indicators.
Filtering:

Columns:
Hide or show columns as desired. Hidden columns do not persist between sessions.
Export:
Download a CSV file for the currently displayed rule. The export adheres to any filtering or column settings and includes all relevant record results, even if they span multiple pages. This can be used as an alternative way to view “List” rules or to filter them for non-users to resolve the records.
Addresses
The 'Addresses' component is part of the Validation application. It allows users to review and standardize all student home addresses in a single location. Access to Addresses is restricted to users who have been intentionally granted access to the page through their Portal user roles.
(Note: District Administrators have the ability to set district-wide address validation preferences. Refer to the Configurations section in the District Administration help for more information.)
Addresses Page
The Addresses page is divided into three pages:
Pending Validation:
This tab lists student home addresses that require review. It serves as the "to do" list for Addresses.
Approved Validation:
This tab displays a list of validated student home addresses that have been accepted but are awaiting updates to be sent back to the Source System. Once the validated address is updated in the source system, it is removed from this tab.
Declined Validation:
This tab lists validated student home addresses that the district user has decided are not appropriate for the student. Addresses remain on this tab until a user decides to undo the decline.

Validating Addresses
The Pending Validations tab displays details about the student and their current home address. Additionally, it provides a "Suggested Address" for the student, which is validated against the US Postal Service standard and aligned with the district's configurations.
The Suggested Address may include additional information, such as whether it's a multi-tenant residence or if the current address lacks a unit designation. It will also indicate if the postal service has noted that the residence is vacant.
To approve a validated address, users can select the "Accept Validated" radio button, choose the address(es) to accept (there may be more than one), and then click "Save." Multiple addresses can be accepted on the screen before clicking "Save Selections."
If a user determines that the validated address is not suitable, they can select "Decline Validated" and click "Save Selections." Similar to accepting validated addresses, several addresses can be declined on the same screen before clicking "Save."
If the message "No validated address results found" appears, it means that the student's current home address does not match anything in the postal service database.
Review Accepted Addresses
To review addresses that have been approved but are awaiting delivery to the Source System, open the Approved Validation tab. Once the writeback is completed, the student record is removed from this tab.
If an address was incorrectly marked as "Accepted," adjust the radio button to "Declined" from the Approved Addresses tab, then select "Save." This action will decline the address instead.
During nightly processing, addresses are written back to the Source System in batches. If time does not permit all addresses to be sent back overnight, the addresses that were not sent will remain on the Approved Validation tab.
Address Writeback - Skyward
When addresses are sent back to Skyward, there are several limitations and restrictions to note:
- The Home Language Code must be populated for the student, or the address will not be written back.
- The student's move date will remain the same as it was before the address was validated. The Portal will not change the student move date during the address validation process.
- If the district has student pathing established associated with addresses, the Portal will accept the proposed path by Skyward during address writeback.
- If a ZIP code already exists for a different city, the Portal will add a new instance of the ZIP code with the next available letter (for example, 49088B).
Review Declined Addresses
To review addresses that have been declined, open the "Declined Validation" tab. This tab shows who declined the address and when it was declined. To return the address to the pending queue, select "Undo Decline" and click "Save Selections."
