Global Navigation Bar
The Global Navigation Bar is always visible in the Level Data Portal, providing primary navigation, including the logout option. The Admin menu is visible only to users with admin permissions.
User Name Display
The displayed username includes the logged-in user's district information. This helps users with access to multiple districts to confirm which district they are currently logged into.
Logout
To log out of the system, click the user initials icon. If needed, this will also allow a user to switch logins.
Validation Admin Users
The Portal Admin can assign admin users for the Validation application. These users will have access to the "Admin" menu and all features available within the Validation Settings section.
Admin > Validation Settings
This section defines the settings available for the Validation application within the Level Data Portal. This is accessible to users granted admin permissions for the Validation application. They can create roles and permissions, assign user privileges, and apply district-level configurations within the Validation Settings section.
Admin > Validation Settings > Roles
The “Roles” page allows districts to define roles applicable to multiple users for Level Data Portal Users. Roles can specify data filtering by site within the district and restrict access to all or a subset of validation rules.
District roles including site filtering will become available in the list as created by the Portal Admin. Here Validation Admin users can define the application access for users assigned to those roles.
Below are two unique examples of roles that a district may wish to create.
Example - Elementary Role
In this example, we are creating a role with filtered access limited to all rules for a specific site - Elementary School (100). This role can be assigned to multiple users, granting them permission to only view data from the Elementary School on that site. This example also shows a role that will have access to all rules, but the role cannot access the activity log or the address validation pages.
This example role can be created using the following steps:
- Select District Role: Select the correct District Role for that site from the list on the left.
- Rules: Select "Allow all rules" to grant users access to the results of all rules.
- Application Access Settings: Do not check the Address Validation access checkbox.
Example - Districtwide Special Education
In this example, we are creating a role with filtered access limited to only the Special Education rules across all sites in the district. This role can be assigned to multiple users, granting them Districtwide Special Education permissions for all sites. This role does not have access to the Address Validations.
This example role can be created using the following steps:
- Select District Role: Select the correct District Role for all sites from the list on the left.
- Rules: Go to the Special Education tab and choose "Allow all in category."
- Application Access Settings: Do not check the Address Validation access checkbox.

To grant users access to the Level Data Portal’s functionality, permissions must be assigned. To assign an existing user a role:
- Open the “Permissions” screen and select the user:
- Select the role to apply to the user. In this example, the “Role” being assigned already provides site filtering, and therefore, the user cannot have additional site filtering:
A few notes about assigning roles to users:
- It is recommended to set districtwide permissions either based on roles (role-based site filtering) or individual users (user-based site filtering)
- When a user has multiple roles, access is cumulative, providing them with all applicable filtering from each role.
(Note: If site filtering is selected for the user, roles with site filtering will be unavailable. Deselect the user site filtering to proceed with assigning roles.)

If a user is assigned a role that does not have site filtering, administrators can add site filtering for the specific user by opening the user’s account on the Permissions page and then selecting the appropriate sites for the user to have access to. The example below shows a user with access to the Middle and Elementary Schools.
Alternatively, users can be granted access to all sites by selecting the “Allow all sites” checkbox.

Configurations allow administrators to set district-wide preferences related to the Validation application. These settings can be accessed and adjusted in the Validation Settings section under the Admin menu.
Addresses Configurations
Street and City Name Casing:
To ensure consistency in capitalization for street names and cities, districts can choose between displaying these fields in all capital letters or in title case.
Note for Skyward districts:
If the City/ZIP combination already exists in a format that is different from the selected setting, the capitalization cannot be updated. It's best to clean up the ZIP code table before using the Addresses feature.
Write Latitude and Longitude back to the Source System:
Districts can receive latitude and longitude for student home addresses to provide to the source system during address validation. Districts can choose to always accept latitude and longitude for validated addresses or only accept them if the Source System does not already have this information.
Use ZIP+4 for Validation and Writeback:
Districts can decide whether to include the +4 on ZIP codes as part of their standard address format. If the Source System already includes the +4 on the ZIP and a district chooses not to include it, the validated address returned to the Source System will have the +4 removed.
Validation Configurations
Enable/Disable writeback from Level Data Connect Source System:
This setting allows the district to decide whether to allow Level Data Portal to send changes to the Source System. If enabled, validation rules that provide the option to “fix” the record will be available, and the changes will be provided back to the Source System during the daily processing.
Admin > Validation Settings > System Summary
This page offers a comprehensive summary of the current status of the Validation application, presenting details such as the last synchronization timestamp and record counts with validation errors.
This page enables district administrators to confirm the successful completion of nightly processing. It displays Total Active student and staff record counts for verification, ensuring counts align with expectations. A synchronization timestamp indicates the last time the Level Data Portal received and loaded data from the SIS, serving as an alert for potential processing errors if the date is not the current day.
The Validation table offers a high-level summary of rule groupings and their respective total error counts.
